The General Assistant to Varian Executive and Sales Team provides high-level administrative, commercial and operational support to ensure smooth day-to-day business activities. This role acts as a key enabler between leadership and the sales function, supporting communication, reporting, and execution of strategic and commercial initiatives.
Your role:
- Prepare and review sales proposals, quotations, contracts, and tenders, ensuring accuracy, compliance, and alignment with company standards.
- Manage and draft all customer and business correspondence, including emails, letters, and official communications.
- Maintain CRM systems, sales data, and customer records while supporting reporting, analysis, and performance tracking.
- Coordinate meetings, customer visits, events, and travel arrangements to support sales and executive activities.
- Provide administrative support through preparing presentations, reports, and tracking key actions and follow-ups.
- Work closely with internal teams (finance, logistics, marketing) to ensure smooth coordination, approvals, and timely customer responses.
- Support operational efficiency by improving processes, coordinating vendors, and ensuring effective communication across functions.
Your expertise:
- Bachelor’s degree in business administration or a related field, with 3–5 years of experience in administrative support, executive assistance, or sales coordination.
- Hands-on experience with CRM systems, contracts, quotations, customer communications, and commercial documentation.
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook) for reporting and presentations.
- Excellent organizational, multitasking, and time-management skills with high attention to detail and accuracy.
- Strong communication, interpersonal, and stakeholder management abilities.
- High level of professionalism with the ability to handle confidential information with discretion and integrity.
- Proactive, solution-oriented mindset with strong commercial awareness and customer focus.
